The Commercial Operations Specialists is an integral part of our Customer Service team based out of our US - Omaha, NE - Vaccines site.

POSITION DETAILS:
The Commercial Operations Specialists is an integral part of our Commercial Operations team based out of our Phibro Vaccine Omaha Office in Omaha, NE. The Commercial Operations Specialists must be able respond to Autogenous vaccine customer inquiries from Phibro Sales Team. Coordinate and communicate these inquiries with the appropriate Managers, Departments, and Field Team & Technical Support staff. Computer, telephone and organizational skills required. Perform clerical, administrative, data entry and general office duties in support of the Commercial Operations department. This includes maintaining documents/document control, sales and certification documentation for State Veterinary, non-adjacent approvals and maintain records for USDA/CVB inspections. Specific responsibilities include but are not limited to:
Key Responsibilities:
- Create, maintain, and enter information into databases using computers for various applications, such as database management or word processing
- Check and verify addresses approved for shipment and order accuracy
- Maintain and respond to PVO sales email inbox in a reasonable amount of time
- Send out Daily shipment email with UPS tracking numbers
- Create and maintain new orders in the JDE system
- Call/email out on vaccine releases / shipments
- Assist Manager to manage expiring serials
- Complete daily autogenous order input spreadsheet reports
- Daily recording and maintaining of available inventory
- Assist in maintaining customer spreadsheets
- Maintain PRRS and Non-Adjacent database tracking system
- Manage State Veterinary Non-Adjacent submissions
- Set up and manage paper or electronic filing systems, recording information, updating paperwork, or maintaining documents
- Complete department applicable forms in accordance with company procedures obtaining proper signatures utilizing our word processing, spreadsheet, and database software.
- Maintain, file, archive, and retrieve corporate documents, records and reports.
- Communicate with customers, employees, and other individuals to answer questions, disseminate or explain information and address as delegated by the Manager Commercial Operations
- Read and analyze incoming documents, assessment questionnaires, memos, submissions, and other data to determine their significance, and plan document control.
- Maintain faxes as needed
- Assist the field team with reports from JDE as needed
- Assist in receiving and submitting Autogenous vaccine orders received by phone, fax and e-mail. Acknowledge receipt of order with Phibro Sales force and Technical team.
- Become proficient in the use of the JDE software to input Autogenous vaccine orders and recover pertinent information regarding diagnostic isolates.
- Assist Manager and Tech Services Veterinarians with the preparation of Isolates Extensions and Non-Adjacent requests for Autogenous vaccines when needed.
- Assist with phone answering, distribution of daily mail and process in visitors and notify Phibro employee of their presence as needed backup.
- Display initiative and forward thinking to support department growth.
- Assist in completing daily shipment logs and documents
- Backup for PVO part number approvals in JDE for order enter
- Focus on NA documents for order processing for shipments and order entry
- Other duties as assigned.
Key Competencies & Requirements:
- Education and/or Experience: An associate’s degree preferably in Animal Science or Office Management preferred.
- Reasoning Ability: Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form. Must be able to make decisions on routine matters. Ability to define and solve practical problems, collect data, establish facts and draw valid conclusions.
- Decision Making Responsibilities: Must work primarily in a worker capacity in a team environment. Have informal contact daily with management. Good organizational and writing skills necessary to track and document.
- Skills: Microsoft Office (Excel, Outlook, PowerPoint, Publisher, Word), Microsoft Access experience a plus. Ability to read, analyze, and interpret in English correspondence, general business reports, professional journals, technical procedures, and diagnostic reports.
- Physical Demands: May need to move boxes (30lbs to 40 lbs.) and walk to shipping department as well as other departments.
