The Quality Systems Support Administrator is an integral part of our Network and Computing Services team based out of our US - Chicago Heights, IL site.

 

Compensation range for this position is $90,000.00 -$115,000.00

 

 

Position Details

We are seeking a detail-oriented and technically proficient Quality Systems Support Administrator to manage the support, configuration, and continuous improvement of multiple enterprise quality and compliance systems. This role is critical to ensuring the stability, compliance, and operational effectiveness of systems used by QA, RA, and QC functions, including QMS, Veeva, LabWare, and ExyLIMS. The administrator will act as a liaison between IT, Quality, Regulatory Affairs, and system vendors to support business needs while maintaining compliance with GxP and data integrity requirements.

Key Responsibilities

 

  • Administer and support Quality and Regulatory systems (e.g., QMS, Veeva, LabWare, ExyLIMS), ensuring high availability and compliance with GxP and 21 CFR Part 11.
  • Serve as the first line of support for system issues, user requests, and integration touchpoints.
  • Manage user lifecycle activities (account provisioning, role changes, deactivation), ensuring segregation of duties and proper audit trails.
  • Monitor and resolve system errors, audit trail anomalies, and data synchronization issues with internal and vendor teams.
  • Ensure up-to-date documentation for system configurations, validation documents (IQ/OQ/PQ) & SOPs.
  • Cover user onboarding, training, and functional support for quality and regulatory applications.
  • Collaborate with QA/RA stakeholders to gather feedback, manage vendor escalations, and influence system roadmaps.
  • Support internal audits, vendor audits, and regulatory inspections by ensuring system readiness and documentation availability.

Education & Experience

  • +7 years of experience supporting validated Quality/Regulatory systems in a GxP-regulated environment.
  • Bachelor's degree in computer science, information systems, engineering, business, or a scientific or technical discipline.
  • Hands-on experience with one or more of the following: Veeva RIM, LabWare LIMS, ExyLIMS, TrackWise, or other QMS platforms.
  • Knowledge of GxP, 21 CFR Part 11, Annex 11, data integrity principles, and validation lifecycle.
  • Experience with change control, CAPA, training, deviation, or regulatory submission workflows.
  • Familiarity with LIMS/ELN, document management systems, and integration with ERP or MES systems is a plus.
  • Experience working with cross-functional teams (QA, RA, QC, IT, Vendors) to manage system changes and ensure compliance.
