The Customer & Logistics Partner is an integral part of our Finance team based out of our Belgium - Wavre site.

 

Position Details

1.    Main accountabilities
•    Management of the Supply Chain from customer order till invoicing
o    Customer order management (domestic, export, intercompany and direct shipment orders)
o    Order allocation
o    Logistic coordination of the order preparation
o    Order invoicing
o    Organize transport (export, import, intercompany, direct shipment)
o    Coordination and communication with Customers
•    The job consists of managing logistics of
o    Distribution of Processing aids
o    Distribution of veterinary medicines
o    Distribution of API veterinary
o    Distribution of nutritional specialties
o    Import flows of the above product categories
•    Administration of customer orders.

2.    Competencies
Technical:
•    Understand the basics of supply chain management (Incoterms, payment terms, quality
•    certifications, etc..)
•    Understand the GXP requirements
•    Understand the role of the RP (responsible person)
•    Understand the basics of GDP requirements
•    Understand and knowledgeable with import/export processes (customs, certificates, origin,
HS codes,
•    transport modes)
•    Competency required with Microsoft Office

3.    Key activities
➢    Supply chain
•    Encode customer order in the ERP system
•    Analyze terms of orders (letter of credit terms, payment terms, delivery …)
•    Receive approval for orders (from responsible person for veterinary medicines or quality manager for the other products)
•    Allocate product to order in compliance with customer PO and in compliance with internal rules (i.e. FIFO….)
•    Edition of shipment documents in compliance with regulatory, national/international rules
 
•    Issue and check customer invoice
•    Coordinate with third party warehouse the preparation of the customer order to meet delivery expectations from customer.
•    Coordinate with third party supplier for the preparation of the customer order to meet delivery expectations from customer (direct shipment).
•    Communicate and coordinate with Chamber of Commerce, Afsca, afmps and / or other export services the edition of export documents if required.
•    Organize and book transport to guarantee the delivery in due time and in respect with the security and safety rules
•    Support import activities (customs clearance, coordination with customs brokers, document checks)
•    Respect all legislation in force (transport, regulatory, GxP)
➢    Logistics Communication
•    Manage the communication between all the party involved in the customer order (sales director, Technical specialist, Responsible person, quality manager, warehouse, customs, transport, customer, finance…)
•    Posting of customer invoices in the adequate financial period
•    Communicate and coordinate with the customer the delivery of his PO
•    Provide support to customers for all questions related to logistics
➢    Order administration
•    Consolidate and archive all documents related to customer order in compliance with legal and internal procedures.
•    Organize the shipment of all documents related to a shipment to the appropriate persons
•    Archive relevant import documentation (CMR, AWB, customs declarations, certificates, ...)


➢    Various
•    Check invoices relative to logistics (transport, warehouse, chamber of commerce…)
•    Manage transport companies
•    Participate with the Planning specialist to the demand plan
•    Participate in operational improvement initiatives and logistics projects as required.
